Complete Staff Coverage Case Study

Feb 2024

Mint is a business technology and telecoms provider in the West Midlands. wildesoft.net built an emergency text messaging service for Mint's customer Otsuka Pharmaceutical Europe, which copies staff from Otsuka's Microsoft directory into a text messaging service. Once the service was in daily use, wildesoft.net made sure nobody was quietly being left out.

The Business Problem

An emergency text list is only useful if everyone is on it. As the service grew, three gaps showed up. The Microsoft directory hands back staff in batches of 100, so in larger groups anyone beyond the first batch was never copied across. Some staff had their work mobile recorded as a business phone rather than a mobile, so the service picked the wrong number or none at all. And when a number was missing or badly typed, the person simply didn't appear, with no warning to anyone.

There were problems on the sign-up website too: some staff found their personal number hadn't been saved, and removing a number didn't always work.

The Solution

wildesoft.net changed the sync to keep asking the directory for the next batch until every member of every group had been read, however large the group. It now checks each listed business phone and uses a valid work mobile first, tidying every number into the same UK format.

Any member whose number still isn't valid is listed by name in the service's log, so Mint can see exactly who needs their directory details fixing.

On the website, wildesoft.net fixed the saving and removal of personal numbers, and made sure the form keeps what someone typed if anything goes wrong.

The Result

Every member of every group now reaches the text messaging service, with the right number. Where a number can't be used, Mint sees who it is and can get it corrected, instead of finding out during an emergency.
