What we collect and why
When you contact us
The contact form asks for your name, email address, phone number and message, and, if you choose to answer, how you heard about us. We also note which page of our site you sent it from. We use them to reply to you and, if we go on to work together, to keep a record of our discussions, and the last two to see which of our pages and marketing bring enquiries. We rely on our legitimate interest in answering enquiries, and on taking steps you ask for before a contract.
We only add you to our newsletter if you tick the box to sign up. You can ask us to take you off it at any time.
When you use the “Ask about our work” chat
The chat is explained in its own section below.
Website statistics
We use Cloudflare Web Analytics to count visits and see which pages are popular. It does not use cookies and does not identify you.
Technical logs
Like most websites, our server keeps technical logs, which can include your IP address and the pages requested, so we can keep the site working and secure. They are deleted after a short period.
The “Ask about our work” chat
Our Ask about our work chat answers questions about the work in our published case studies.
What happens to your question. When you ask a question, it is sent, with the earlier messages in the same conversation, to Anthropic, a US company whose Claude AI model writes the answer. Anthropic processes it on our behalf under its commercial terms, which do not allow it to use your questions to train its models.
Transfer outside the UK. Because Anthropic is based in the United States, your question is transferred outside the UK. The transfer is protected by the safeguards for international transfers in Anthropic’s data processing terms.
What we keep. We keep a log of the questions asked, so we can see what visitors want to know and improve our case studies and the chat. Before a question is saved, email addresses, phone numbers and long numbers are removed from it automatically. The log does not record your IP address, your browser or anything else that identifies you; each conversation has a random reference that is not linked to you. Please don’t include personal details in your questions.
If you ask us to follow up. If you fill in the follow-up form, we save your name, email address and, if you give them, your company and phone number, together with the conversation, and email them to us so we can reply. We use these details only to respond to your enquiry, and we don’t send you any automated email.
Your conversation in your browser. The chat keeps your conversation in your browser’s session storage, so it survives a page refresh. It is cleared when you close the tab or choose “Start again”.
Daily limits. To keep the chat fair, the number of questions from each visitor is limited each day. To do this, a one-way code made from your IP address is held in our server’s memory for up to a day; it is never saved.
How long we keep it. Questions and follow-up requests are deleted automatically after 12 months, unless you become a client, in which case we keep the follow-up request with your client records.
Protecting our forms from spam
The contact form and the chat’s follow-up form use Cloudflare Turnstile to check that they are being filled in by a person. Turnstile runs a short check in your browser and sends technical information, such as your IP address and browser details, to Cloudflare so it can tell people from bots. Cloudflare uses this only to detect and block bots, not to identify, profile or target you. Its use is covered by Cloudflare’s Turnstile privacy addendum and privacy policy.
Cookies
We don’t use advertising or tracking cookies. The cookies this site uses are:
- any strictly necessary cookies Cloudflare Turnstile uses to tell people from bots on pages with a contact or follow-up form;
- a security cookie that protects our forms from being submitted by other websites;
- a login cookie, used only by our own staff in the site’s administration area.
Most browsers let you block or delete cookies. If you block them, the forms may not work, but you can still call or email us.
Who we share it with
We never sell your information. We share it only with the companies that help us run this website, and only as far as they need it:
- our hosting provider, which runs the website and its database;
- SendGrid (Twilio), which delivers our emails;
- Anthropic, which answers chat questions, as described above;
- Cloudflare, for website statistics and to protect our forms from spam;
- the OpenStreetMap Foundation, which supplies the map on our contact page.
We may also share information if the law requires us to.
How long we keep it
We keep enquiries for as long as we need them to deal with your enquiry and any work that follows, and records of work for clients for as long as the law requires. Chat questions and follow-up requests are deleted after 12 months, as described above.
Keeping it secure
We use suitable technical and organisational measures to protect your information, including encrypted connections (HTTPS) and restricted access to our systems.
Your rights
Under UK data protection law you can ask us, free of charge, to:
- give you a copy of the personal information we hold about you;
- correct information that is wrong or incomplete;
- delete your information;
- stop or limit how we use it, or object to our using it;
- stop sending you our newsletter, if you signed up.
To make a request, email info@wildesoft.net or write to us at the address above. We will reply within one month. Because the chat’s question log cannot be linked to you, we can only remove a question if you tell us roughly when you asked it and what it said.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
