Membership Management Case Study
BoB Connections is organised in layers: members belong to clubs, area coordinators run the clubs, regional directors look after groups of clubs, and head office oversees the whole organisation. Each of them uses the BoB Connections website to manage members and renewals.
The Business Problem
Head office had no easy way to see what was coming. Knowing how many memberships were due for renewal in the next few quarters meant running database queries by hand, and regional directors had no view of their own region at all. Members who had joined more than one club, or who also held a role such as area coordinator, could end up with duplicate logins, which confused both the member and the records. And there was no way to mark a member as not paying, which made the licence report harder to get right.
The Solution
wildesoft.net built a forecast report for head office. It shows renewals due quarter by quarter, members whose expiry dates have been extended, and the new members who joined in the last quarter, each linked to the member's profile. A matching report gives every regional director the same view of their own clubs, and later work made sure each role sees exactly the right tabs and figures.
Regional directors can now merge two member records into a single login. They enter both email addresses, check the member's clubs and roles side by side, and confirm the merge. Members can also be marked as not paying, so the licence report reflects reality.
The Result
Head office and regional directors can see upcoming renewals at a glance and plan their follow-up, instead of waiting for someone to run a query. Members have one login however many clubs they belong to, and the licence figures can be trusted.
