Reports That Arrive on Time Case Study
webCRM is a Danish cloud CRM, and wildesoft.net is the UK developer it turns to when a customer needs something bespoke. Job Meal, a Swedish supplier of workplace coffee and refreshments, has received a weekly sales report built from its webCRM data since 2019. Keeping that report accurate and dependable over the years has been as important as building it.
The Business Problem
A report that people rely on has to be right every time. Job Meal wanted a second, mid-week edition, but a report run on a Wednesday could easily pick up meetings booked for later in the week and show activity that hadn't happened yet.
Week numbers caused trouble too. Sweden numbers its weeks so that week 1 is the first with at least four days in the new year, and at the start of 2021 that rule put the report's weeks out of step with the calendar the team used.
And if the CRM couldn't be reached at the moment the report ran, the managers would simply receive nothing.
The Solution
wildesoft.net added the mid-week run with its own list of recipients, counting meetings only up to midnight on the day it runs, so it never looks into the future. The week numbering was corrected to follow the Swedish calendar exactly.
The service now retries if webCRM can't be reached, keeps a log of every run and every email sent, and emails an alert if a report fails, so a problem is known about straight away rather than discovered when someone notices the report is missing. If a report has already been built that day, it is sent again without being rebuilt.
The Result
Job Meal's reports arrive when they should, with figures the team can trust, twice a week, year after year.
