webCRM Case Study
webCRM is a Danish cloud CRM used by businesses across Europe. When one of its customers needs something the standard system doesn't do, webCRM turns to wildesoft.net, its UK development partner, to build it. Since 2019, wildesoft.net has built bespoke functions on top of webCRM for customers in insurance, workplace refreshments, hygiene products and multi-year service agreements.
The Business Problem
webCRM's customers each had a process that lived partly outside the CRM, and someone was filling the gap by hand.
Svedea, a Swedish insurer, had to take every intermediary company through a six-step compliance process under the EU Insurance Distribution Directive (IDD), sending forms, chasing each step and adding up yearly contact hours. Job Meal, a Swedish workplace coffee and refreshments supplier, built its weekly sales report from several exports and a spreadsheet. Sterisol, a Swedish maker of hand hygiene products, copied contacts between webCRM and Mailchimp and typed in new leads. Best One, a Danish customer selling multi-year agreements, copied every order by hand for each future year.
In each case the work was slow, easy to get wrong, and invisible until something was missed.
The Solution
wildesoft.net built a small, dedicated service for each customer, working through webCRM's own interface so the CRM stays the single place where data lives.
- Svedea: one tick box now sends the compliance forms to the right people, records the date and links the paperwork folder. Reminders go out every 14 days until each process is finished, and a warning shows on any company that has stalled. Meeting and newsletter hours are totalled and banded for every company, for this year and last.
- Job Meal: a finished Excel sales report, in Swedish, is emailed to managers twice a week, with year-to-date figures and each salesperson's targets set against their results.
- Sterisol: contacts flow from webCRM to Mailchimp automatically; unsubscribes and bounces flow back; and landing page sign-ups arrive in webCRM as new companies and contacts, without duplicates.
- Best One: every future year's order for a multi-year agreement is created within minutes of the first, including upgrades part-way through an agreement.
Each service retries when a system is briefly unavailable and logs what it does, and wildesoft.net has kept them in step as each customer's processes changed, in Best One's case for five years and counting.
The Result
webCRM can say yes when a customer asks for something bespoke. Its customers get automation that fits the way they work, built on the CRM they already use, and their teams spend less time copying data and chasing tasks.
For webCRM, wildesoft.net is a partner that understands its platform and can turn a customer's specification into a working service.
