Compliance Paperwork From a Tick Box Case Study

Oct 2021

webCRM is a Danish cloud CRM, and wildesoft.net is the UK developer it turns to when a customer needs something bespoke. Svedea, a Swedish insurance company, uses webCRM to manage the intermediaries and companies that sell its policies, and every one of them has to be taken through a compliance process under the EU Insurance Distribution Directive (IDD).

The Business Problem

Starting the process meant a string of manual steps. Someone had to find the right contacts at the company, usually its board members and management, email them the compliance forms, record the date the forms went out and add a link to the shared folder where the signed paperwork would be kept. The same had to be possible for a single contact person.

If a company had nobody marked as board or management, the forms simply couldn't go anywhere, and nobody would know until it was chased.

The Solution

wildesoft.net made the whole start of the process happen from one tick box in webCRM. When a user ticks "start process" on a company or a person and saves, webCRM tells a small cloud service, which queues the request so nothing is lost if anything is busy.

The service then looks up every contact at that company marked as board or management, sends their details to Svedea's own email automation so the forms go out from Svedea's Microsoft 365 mailbox, fills in the "forms sent" date and adds the shared folder link to the company record. If no one qualifies, the person responsible for that company gets a warning email with a direct link to the record instead.

Failed attempts are retried with increasing gaps, so a brief outage never drops a request.

The Result

Starting a compliance check now takes one click. The right people get the right forms, the record is updated straight away, and gaps in contact data are flagged the moment they matter.
