Meeting Hours and IDD Time Case Study

2021 to 2022

webCRM is a Danish cloud CRM, and wildesoft.net is the UK developer it turns to when a customer needs something bespoke. Svedea, a Swedish insurance company, has to show how much training and contact time each of its intermediary companies receives each year as part of its compliance under the EU Insurance Distribution Directive (IDD).

The Business Problem

The time came from two places: meetings logged in webCRM and the newsletters each company received. Adding up meeting hours per company, combining them with newsletter time, and then sorting every company into a band (under 5 hours, 5 to 10, 10 to 15, or over 15) was a manual job, done for the current year and the previous one.

The figures were slow to produce and easy to get wrong, and they were out of date as soon as another meeting was booked.

The Solution

wildesoft.net built a scheduled service that reads every meeting in webCRM and totals the hours for each company, including part hours, for both the current and the previous year. It adds the newsletter time to give total IDD time, then places each company in the right band for meeting time and for total time.

Every figure is written back to fields on the company record in webCRM, so it can be seen on screen, filtered and reported on like any other data. Companies with newsletters but no meetings, and meetings without a linked company, were handled so nobody was missed.

Later, wildesoft.net added a one-off fill of the four previous years of meeting figures, giving Svedea a full history to compare against.

The Result

Every company's IDD time is always up to date, without anyone adding up a spreadsheet. Svedea can see at a glance which companies need more contact time this year.
