Collated School Orders Case Study

ACE Embroidery runs white-label online shops for schools, clubs and businesses. Parents and members place their own orders online, and ACE produces and delivers the clothing.

The Business Problem

Every online order went straight into ACE's order-management system as a separate job, to be produced and delivered on its own. For schools that ordered at set times of year, this meant dozens of small orders arriving one by one, each with its own handling and delivery. Schools wanted orders gathered together and delivered in one batch, and ACE wanted to produce them in one run rather than piecemeal.

The Solution

wildesoft.net added order collation to the shops. Each organisation can be set to collate, so its online orders are held rather than sent to production straight away. ACE staff can then:

  • see a summary of the held orders for each organisation
  • choose when to send the whole batch to ACE as a single import, through a dedicated order feed
  • see clearly, in the admin area, which orders have been sent and which are part of a collated batch
  • print box labels, pack labels and a summary sheet, so each parent's items are easy to find in the school's delivery
  • export collated orders for organisations whose shops are open to the public.

Customers receive an email explaining that their order will be delivered with their school's batch, and organisations can be limited to a single collection address so nothing is sent to the wrong place. Admin staff can also view a shop as the organisation sees it, to check what customers are seeing.

The Result

Schools receive one organised delivery instead of a stream of parcels, with every pack labelled for the right pupil. ACE produces each school's orders together, at a time it chooses, rather than handling each one separately.
