Missing Order Dates Case Study
iTS records every delivery in webCRM, including the date the software licences and hardware were ordered from suppliers. Those dates matter for reporting, renewals and checking that every delivery was actually ordered.
The Business Problem
Many older deliveries were missing their software or hardware order dates. The information often existed somewhere else, for example in an activity note or the delivery's history log saying when a licence was ordered. But no one had copied it into the right field. Filling the gaps by hand would have meant opening each delivery in turn, reading its history and typing in a date.
The Solution
wildesoft.net built two automated workers, one for software and one for hardware. Each finds deliveries with a missing order date. It then reads the related activity notes and the webCRM history log, looking for evidence of when the order was placed, and writes the correct date back into webCRM.
Where the worker can't find a date with confidence, it doesn't guess. Instead it lists those deliveries, with links, in a report for the team to review, separating deliveries that include software from those that don't. The workers run in batches and pause between calls so they don't overload webCRM. They were tested against real data before running across the full set.
The Result
The backlog of missing dates could be filled without anyone opening a single delivery. The team only needs to look at the small number of genuinely unclear cases. iTS's delivery records are now complete enough to rely on for reporting and renewals.
