Reliable Xero Sync Case Study
iTS's systems keep webCRM and Xero in step all day. Invoices go into Xero, and balances and payment status come back into the CRM, so sales and support staff can see who has paid.
The Business Problem
Background jobs that run at the same time could each try to renew the secure Xero access token (the digital key that lets the systems connect) at the same moment. This race condition could break the connection. A customer's balance was only updated on a separate schedule, so CRM figures could be out of date. Marking orders as paid depended on an older polling routine, and some invoices were created without a due date.
The Solution
wildesoft.net made the integration more robust:
- Token renewal: only one process at a time can now renew the token. The others wait and reuse the new one. If the token can't be refreshed, staff are emailed.
- Balances: a customer's balance is now updated as each invoice is created.
- Payment status: a new routine marks webCRM orders as paid using the overall invoice status, replacing the old polling routine.
- Due dates: invoices now always carry a due date.
- Credentials: the API credentials were updated, and an outdated option to email invoices to customers from the push was removed.
The Result
The link between webCRM and Xero runs reliably without anyone watching it. Staff see up-to-date balances and payment status in the CRM, and connection problems are flagged immediately.
