Agreement Upgrades Case Study

Nov 2021

webCRM is a Danish cloud CRM, and wildesoft.net is the UK developer it turns to when a customer needs something bespoke. For Best One, a Danish webCRM customer that sells multi-year agreements, wildesoft.net built a service that creates every future year's order automatically. Real sales soon needed more than the original three-year and five-year terms.

The Business Problem

Customers didn't always buy a fresh agreement. Some upgraded part of the way through an existing one, which meant only the remaining years needed new orders, not a full new set. Creating a full set would have doubled up orders that already existed and risked invoicing the customer twice.

Best One also began selling two-year and four-year agreements, which the automation didn't yet recognise, so those orders still had to be copied by hand.

The Solution

wildesoft.net added separate handling for upgrades. An order marked as a three-year or five-year upgrade now creates only the orders for the years still to come, numbered to match where the customer is in their agreement, so the series reads correctly from start to finish.

Two-year and four-year agreements were added alongside the existing terms. Each type follows the same rules for dates, products, labelling and the link back to the original order.

The Result

Whether a customer signs a new agreement of any length or upgrades part-way through, the right orders appear in webCRM automatically, with no gaps and no duplicates. Best One's sales team can offer the terms customers want without creating extra admin.
