CRM Contacts to Mailchimp Case Study
webCRM is a Danish cloud CRM, and wildesoft.net is the UK developer it turns to when a customer needs something bespoke. Sterisol, a Swedish maker of hand hygiene and skin care products, keeps its customer contacts in webCRM and sends its marketing emails through Mailchimp.
The Business Problem
The two systems didn't talk to each other. Every time Sterisol wanted to send a campaign, someone had to export contacts from webCRM and import them into Mailchimp, making sure each person landed in the right interest groups.
Lists went stale between imports, new customers were missed, and badly typed email addresses were only discovered when Mailchimp rejected them, with nothing recorded back in the CRM.
The Solution
wildesoft.net built a service that runs automatically and copies every contact added or changed in webCRM into Mailchimp, along with their company and the details Sterisol uses to target its campaigns. Existing contacts are updated rather than duplicated.
Each address is checked before it is sent. Anything that isn't a valid email address, or that Mailchimp refuses, is flagged on the person's record in webCRM so they are left out of mass emails, and the sales team can see that the address needs correcting.
A one-off import brought the existing contact list across at the start, so the two systems began in step.
The Result
Sterisol's mailing lists now follow its CRM without anyone exporting a file. New customers are included in the next campaign automatically, and bad addresses are caught and fixed at the source instead of quietly failing.
