Annual Pricing Releases Case Study

iTS is Europe's largest PaperCut Authorised Solution Centre. Its resellers build quotes in an online portal, using a pricing wizard for each PaperCut edition: MF perpetual, MF subscription and Hive.

The Business Problem

PaperCut's prices, product codes and bundles change every year. Each new price book brings new add-ons, new support options, and new rules for installation lines and payment-gateway connectors. Resellers still need to edit or re-issue quotes they made on last year's prices, but new quotes must use the current year.

If the changeover is handled badly, resellers end up quoting from out-of-date prices, or iTS has to freeze quoting until the new prices are ready.

The Solution

wildesoft.net built the 2025 and 2026 pricing as separate wizards for each edition, so a new year can be built and tested alongside the current one. Each release was rolled out in stages:

  • first to beta testers
  • then to iTS's internal staff
  • then to all resellers, with a message telling them the deadline for quoting on the old prices.

After that, the previous year was switched off for external users, kept for a while for internal staff, and finally removed from the code altogether.

The releases also added new options such as Direct End User Support, Advanced Scanning and Fax packs and new embedded connectors. Payment-gateway connectors were split into separate iTS and PaperCut lists. Price book imports were made faster and now check every row before saving.

The Result

Two yearly price books have now been released this way, each covering all three PaperCut editions. iTS moves to each year's pricing on its own timetable, with no gap in quoting and no stale prices reaching customers. Retiring old years keeps the portal lean and quicker to change next time.
