Much of iTS's business comes from renewals: PaperCut maintenance and support, subscriptions and related products. These are tracked as opportunities in webCRM, so the sales team knows what is coming up.

The Business Problem

Renewal opportunities had to be raised by hand, or by an older job that copied only part of the information. New support and subscription leads were assigned to the shared "Systems Maintenance" team, so the account manager who knew the customer could be lost. The history of the original order didn't carry across, and the customer's record didn't show when their products were due to expire.

The Solution

wildesoft.net rebuilt the automatic lead creation in iTS's scheduled services. Maintenance and support, subscription and sales leads are now raised automatically when they fall due, and the team gets a clear summary email.

Each new lead still belongs to Systems Maintenance. It now also names the original order's account manager as the second responsible person, or that order's own second responsible if needed. The original delivery's history log is copied in, and the customer's card in webCRM is updated with expiry dates for each product type.

The Result

No renewal slips through the net. Each one arrives with its full history and the right people attached. Account managers can see when every customer's products expire, so they can start the renewal conversation in good time.
