Princity Billing Case Study
iTS is the exclusive European partner for Princity, a cloud print-management service billed on a recurring basis. Princity customers are invoiced monthly, quarterly or annually, based on data from Princity's own system.
The Business Problem
Each billing run meant collecting usage and subscription data from Princity, raising orders in webCRM and invoicing through Xero. Pricing differed by region, including separate Spanish pricing. Once Xero had raised repeating invoices, the details had to be copied back into the CRM by hand. A product missing from the price book could stop a whole month's invoicing run.
The Solution
wildesoft.net automated the cycle end to end:
- Orders: scheduled jobs read Princity's data through its API and create the matching orders and history in webCRM.
- Pricing: these follow updated rules, including regional pricing and the removal of obsolete items.
- Xero sync: when Xero raises an invoice, a webhook (an automatic notification) updates webCRM, and a daily job fills in any Xero details that are still missing.
- Error handling: errors from the Princity system are emailed to the team. A missing price is reported clearly rather than stopping the run, and the reports go out twice a day.
The Result
Princity billing runs on schedule with very little manual work. The CRM shows the same invoice details as Xero, and the team hears about problems while there's still time to fix them before customers are invoiced.
